This policy explains what happens to personal information you give us through this website. It is written to be read rather than to cover us, so if anything here is unclear please ask and we will explain it plainly.

In short: we collect what you send us through the enquiry form, we use it to answer your enquiry, we do not sell it to anybody, and you can ask us to delete it at any time.

What we collect

We only collect what you choose to send us. There is no account to create, no newsletter sign-up and no tracking of what you read.

When you fill in the enquiry form on our contact page, we collect:

your name
your company name, if you give one
your email address
your telephone number, if you give one
the type of enquiry you selected
the part number or application you told us about, if any
the message you wrote

That is the whole list. We do not record your IP address, we do not build a profile of you, and we do not use any advertising or tracking cookies.

If you telephone or email us directly, we will have whatever you tell us in that call or message. That is handled the same way as an enquiry through the website.

Why we use it, and our lawful basis

Under UK GDPR we have to have a specific lawful reason for using your information. Ours are:

To answer your enquiry and quote for work. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us. Nobody sends an enquiry to a filtration supplier without expecting a reply.
To supply goods and services you order. Lawful basis: performance of a contract with you.
To keep records of enquiries and orders. Lawful basis: our legitimate interest in running the business properly, and where relevant our legal obligations around accounting records.

We do not use your information for marketing unless you have separately asked us to.

Where it is stored

Your enquiry is dealt with in two places:

Emailed to our sales inbox. Our email is provided by Microsoft 365, so a copy sits in Microsoft's systems in the same way as any other business email.
Saved on this website's server, so an enquiry is not lost if an email goes astray. This copy is kept in a folder that cannot be reached from the internet and is only readable by a member of our staff who has logged in to the website's editor.

Our website is hosted in the United Kingdom by Verpex. Microsoft 365 may process email in data centres elsewhere; Microsoft provides appropriate safeguards for international transfers under UK data protection law.

We do not sell your information and we do not share it for marketing.

We share it only where it is necessary to do the thing you asked us to do:

Our suppliers and manufacturers, where we need to source, cross-reference or manufacture a part for you. Usually this is only the technical detail, not your contact details.
Couriers, where we are delivering goods to you and need a name, address and often a contact number.
Our IT and email providers, who host the systems the information sits in.
Our accountants, and HMRC, where the enquiry became an order and appears in our accounting records.

We will also disclose information if we are legally required to.

How long we keep it

We do not keep things indefinitely just in case.

Enquiries that did not lead to an order: kept for 24 months, then deleted. Trade enquiries often come back around after a year or two, and having the earlier conversation saves you repeating yourself.
Orders and the records around them: kept for six years after the end of the relevant financial year, which is the period HMRC requires for business records.
Emails: kept in line with the above, and cleared out periodically.

If you would like your enquiry deleted sooner, ask us and we will do it.

Your rights

Under UK data protection law you have the right to:

See what we hold about you. Ask us and we will send you a copy, normally within one month and free of charge.
Have mistakes corrected.
Have it deleted. We will do this unless we are legally required to keep it, which for a plain enquiry we are not.
Object to us using it, or ask us to restrict how we use it.
Receive it in a portable form, where it was provided by you and we rely on consent or a contract.
Withdraw consent at any time, where we relied on consent.

Cookies

This website uses very few cookies, and none of them track you around the internet.

We do not load anything optional until you have said yes. The full list, and what each one does, is in our cookie policy. You can change your mind at any time using the cookie settings link at the bottom of every page.

Other websites

Our contact page can show a map provided by Google, and our fonts are served by Google Fonts. When either loads, Google receives your IP address because that is how the internet works — your browser has to ask Google's servers for the file.

The map also sets cookies of its own, so we do not load it unless you have agreed. Google Fonts sets no cookies.

Where we link out to other websites, this policy does not apply to them and we have no control over what they do.

Security

We take sensible precautions rather than making grand claims.

The whole website is served over an encrypted connection.
The area where enquiries are stored cannot be reached from the internet.
Access to the website's editor is password protected, with a lockout after repeated failed attempts.
Only staff who need to see enquiries can see them.

No system is perfect. If something did go wrong and your information was at risk, we would tell you and the Information Commissioner's Office as the law requires.

Complaints

If you are unhappy with how we have handled your information, please tell us first — most things are a misunderstanding and are quickly sorted out.

If you are still unhappy, you have the right to complain to the Information Commissioner's Office, which is the UK's data protection regulator.

Changes to this policy

If we change how we use your information, we will update this page and change the date at the top. If the change is significant, we will say so clearly rather than hoping nobody notices.
